Invite team members & roles

Answering questions and keeping a portal tidy is rarely a one-person job. From the Team page (owner and admin, see below) you can invite teammates and control what they’re allowed to do.

Every teammate you invite gets one of these roles:

  • Owner: full access, including billing, deleting or transferring the forum, and creating a Finance teammate. There’s exactly one owner per forum (whoever signed up), and the role can’t be removed or reassigned by inviting someone else into it. Everything else the owner can do, an admin can do too, see below.
  • Admin: operational near-parity with the owner. Full access to portal configuration (categories, tags, branding, custom scripts) via Categories & tags on the portal and the Display, Badges, and Advanced Settings tabs in the dashboard, plus Analytics and Team (inviting and removing admin and agent teammates), plus everything an agent can do. Admins can’t see or manage billing, can’t invite a Finance teammate, and can’t remove the owner.
  • Agent: can answer questions and moderate content (close, delete, mark private, accept answers) on the portal, but can’t change portal configuration or team membership.
  • Finance: a billing-only seat, and the only role only the owner can create. In the dashboard they see just the Billing page, today that’s your current plan and usage limits; once online payments launch, Finance also pays invoices and upgrades or downgrades the plan. They don’t see Analytics, Team, Settings, or any portal moderation tools. On your portal, a Finance teammate looks and acts exactly like a regular member: no staff badge, no access to private content.

You choose admin, agent, or finance when sending an invite (an admin sending the invite won’t see finance as an option, only the owner can create one); the owner role isn’t assignable through invites. All four roles, owner, admin, agent, and finance, sign into the same dashboard (see Sign in to your dashboard); day-to-day answering and moderating on the portal is done by owners, admins, and agents. A Finance teammate doesn’t answer or moderate: on the portal they’re just a member.

Every forum has a team seat limit based on your plan, see Plans & limits for the specifics. Pending invites count toward this limit, the same as active teammates, so you won’t accidentally invite past your forum’s seat count. If you’re at your limit, revoke an unused invite or upgrade your plan to invite more people.

From the Team page:

  1. Open Team.
  2. Enter the teammate’s email address and choose their role (admin, agent, or finance).
  3. Click Send invite.

Your teammate gets an invite link to accept. You can also share it yourself right away with the Copy link button next to the invite (see below), handy when you’d rather send it over chat than wait for email. Opening it shows them which forum and role they’ve been invited to; accepting signs them in with a magic link, the same passwordless flow you used to sign up, landing them on the portal (where day-to-day answering and moderating happens for admins and agents; a finance teammate lands there too, just as a regular member). They can sign into the dashboard separately, any time, the same passwordless way (see Sign in to your dashboard).

Admins and agents also start with a default badge on their profile, Moderator for admins and Agent for agents, they can change it any time on their own Profile page (see Staff profiles & badges). Finance teammates don’t get a badge: on the portal they act as a regular member.

Invites expire after a period of time if they’re not accepted. If that happens, just send a new one.

The Team page has two lists:

  • Pending invites: invites sent but not yet accepted, shown at the top of the page so they don’t get lost below a long team. Each one has a Copy link button that copies that invite’s accept link to your clipboard, so you can send it straight to the person yourself (Slack, a DM, wherever) instead of waiting on email. Revoke an invite at any time to free up the seat and invalidate the link.
  • Team members: everyone with an active owner/admin/agent/finance role. The owner and any admin can remove anyone except the owner (who can’t be removed by anyone) and themselves. Removing someone deletes their account on this forum: their personal questions, replies, votes, profile, and sign-in data are permanently deleted, while anything they wrote in their official team capacity is kept and shown as “{your forum} Team”, exactly the same rules as erasing a member. Because it is permanent, the remove flow first shows you exactly what will be deleted and what will be kept, and then asks you to type the person’s email address to confirm before anything happens.

Next to each teammate in the Team list is a role picker. The owner and admins can change a teammate’s role: the owner can set admin, agent, or finance, and an admin can set admin or agent (assigning Finance stays owner-only, the same as inviting one, since it grants billing visibility). Two guardrails keep this safe:

  • An owner’s role can’t be changed here. There’s still exactly one owner per forum; ownership isn’t reassigned by a role change.
  • You can’t change your own role. Ask another owner or admin if you need yours changed.

Changing someone to a role they already have is a no-op. To take someone off the team entirely, use Remove (see above) rather than a role change.

The invite and member lists above live on the Team page in your dashboard (/w/{your-forum}/team), visible to the owner and admins. Agents still reach the dashboard to sign in and manage their own profile; day-to-day answering, moderating, and managing categories & tags happens on the portal. Finance teammates reach the dashboard for the Billing page only, nothing else.
